Registration is now open for the 2010 Student Botanical Art Exhibition. Registration requirements are detailed below.

 

The following document contains details on student eligibility, submission and retrieval requirements, due dates, show policies and procedures. Once you have reviewed this document and agree to the policies, please proceed to the online registration page to complete your free registration. Thank you for your interest in exhibiting your work.


ELIGIBLE STUDENTS

  • Must be a student in the botanical arts programs offered through the Joseph Regenstein, Jr. School of the Chicago Botanic Garden
  • Must have participated in at least one botanical art class at the Regenstein School within the calendar year of January 2009 – August 2010
  • Each student may submit up to 3 pieces only.
  • Please note that submissions are subject to a selection process, not all entries may be chosen or displayed.
  • All students must provide an email address for future show communications


SUBMISSION REQUIREMENTS

  • Framed artwork size is not to exceed 22" x 28"
  • Acceptable media is an original work in pen & ink, watercolor, pencil, acrylic, oil, or pastel


REGISTRATION AND SUBMISSION PROCEDURES

  • All student artists will need to register for the 2010 show by August 2, 2010.
  • There is no fee associated with registration
  • Submission deadline is August 3. No entry materials will be accepted after this date.
  • Please do not submit original art work for the selection process; submissions should be in the form of a color photocopy, high quality digital photograph, slide or digital scan of the work. Artwork should be removed from glass/plexi-glass frames before taking photos.
  • Electronic submissions may be submitted via email at anytime after registration but no later than August 3.
  • Hard copy submissions may be brought to the continuing education office Wednesday, July 28 through Tuesday, August 3, 9 – 4 p.m. Hardcopy materials may also be mailed anytime after registration to:

  • Please have all pieces notated for submissions as follows:
    (Please note all original pieces selected for the show must be labeled in this manner as well)
    • Title
    • Botanical Name, if applicable
    • Media
    • Your Name
    • Actual size as framed
    • Price, if willing to sell
  • Assessments will be made 2 weeks after submission deadline and students will be notified via email.
  • All entry submissions that you wish to keep should be retrieved within 5 business days of notification.


INSTALLATION REQUIREMENTS AND EXHIBITION CLOSING PROCEDURES

  • All pieces for the show must be framed and wired for hanging. Saw-tooth hangers are acceptable as well, if already framed, but wired is preferred.
  • All frames must be clean and in presentation condition for the show.
  • No frames with arms on the back for table displays will be accepted.
  • There are no stipulations on framing color, style or matting. Plexiglass is preferred for installation purposes, but not required
  • All framed art must be labeled in the same manner as submissions were notated above
  • All original materials selected for the exhibition must be submitted to the continuing education office for show installation beginning Wednesday, September 22 – Friday, September 24, and Monday September 27, between the hours of 8:30 a.m. and 4:30 p.m. Pieces will not be accepted before or after this time period.
  • If you can not bring in your work personally, please make arrangements to have this done for you during the times listed above.
  • The exhibition will close on Monday, October 18, 2010. All artwork needs to be picked up at this time. Please note you will be required to sign out your work with a student docent prior to retrieving it.
  • All artists are responsible for arrangements to pick up their submissions in a timely manner. Artists or their representative should be present on October 18 if a buyer is picking up a sold piece at this time.


SELLING GUIDELINES AND PROCEDURES

The primary purpose of the Student Exhibition is to provide both a unique opportunity and a quality space for students of all levels to present their work. As an added benefit to students during the exhibition, you may list any piece for a sale price of your determination. Students will have the opportunity to docent the exhibition on a volunteer basis.

  • All pricing for your work should be designated at the time of initial submission. Changes to pricing can be made no later than August 10, 2010.
  • Works that are for sale will have their price displayed on the gallery tag; NFS denotes items that are not for sale.
  • Any piece sold must remain in the gallery until the closing on October 18.
  • Artists will be solely responsible for connecting with the individual buyer and arranging payment and exchange of their work on October 18. Any purchaser pick- ups after October 18 will be up to the artist to arrange.
  • Pieces sold at the opening reception on October 1 can be negotiated directly through the artist on site for payment and buyer transfer. A receipt book and a purchaser agreement will be available.
  • The Chicago Botanic Garden and/or student docents will collect buyer inquiries and sales after October 1. Potential buyers will be directed to the Regenstein Information desk when a docent is not on the premises.
  • The Chicago Botanic Garden can process any credit card payments for works sold less a 5% processing fee. Students should forward any potential sales inquiries to the continuing education office or the buyer can contact us directly to process payment.
  • All credit card purchases will be processed after the closing on October 18.
  • All payments to students will then be sent within 2 weeks of this closing date.
